Overview

This position serves as a key resource and mentor within the registration and scheduling team, supporting daily operations while ensuring high-quality patient access services. In addition to performing registration and scheduling duties, this role provides leadership support by training new team members, troubleshooting complex registration or scheduling issues, and acting as a liaison between patients, clinical staff and leadership. This position is responsible for maintaining accurate records, optimizing scheduling workflows, and upholding exceptional customer service standards.

  • Compensation: $21.07 to $30.34 hourly wage based on experience and education

Responsibilities

  • Perform registration and scheduling duties, including, but not limited to, gathering patient demographics, verifying insurance, and coordinating appointments across multiple departments or providers.
  • Processing STAT priority orders, including scheduling, pre-registration, G2g verification, obtaining authorization, filing orders in the patient chart, leaving detailed phone notes, and completing documentation in RightFax.
  • Calculate, collect and process co-pays, payments, or outstanding balances as needed.
  • Acts as a point of contact for escalated patient concerns, providing timely professional resolution. Troubleshoots and resolves complex registration, insurance verification, or scheduling issues to ensure seamless patient care.
  • Routinely collaborates with clinical staff and/or business office to ensure seamless patient flow and accurate data sharing.
  • Monitors and retrieves voicemails regularly, ensuring messages are reviewed and routed to the appropriate team for timely follow up- and resolution.
  • Sorts and organizes incoming documents in RightFax, ensuring they are accurately categorized and routed to the appropriate team or department.
  • Collaborate with leadership and clinical team to improve scheduling accuracy, reduce delays, and optimize resource utilization. May schedule or maintain physician diagnostic block time and block time release. Interfaces with Medical staff to assist department/unit in maintaining log of current privilege status.
  • Provide mentorship, guidance, and on-the-job training to registration and scheduling team members to ensure consistency and accuracy.
  • Maintains and monitors the waitlist task box to ensure timely scheduling, pre-registration, G2g processing, and authorization completion.
  • Supports leadership in ensuring compliance with regulatory guidelines and internal policies related to patient registration, documentation, and billing processes.
  • Assists with reporting, audits, and special projects as need to support department goals.

Performs all functions according to established policies, procedures, regulatory and accreditation requirements, as well as applicable professional standards. Provides all customers of Foundation Health with an excellent service experience by consistently demonstrating our core and leader behaviors each and every day.

Qualifications

  • High school diploma/GED or equivalent working knowledge.
  • Requires Skills Normally Acquired Over Three (3) or More Years of Medical Clerical Experience
  • Must possess the ability to function independently and must possess knowledge and abilities to float within two or more areas of the clinic.
  • Requires demonstrated knowledge of medical terminology and a broad understanding of all common insurance and payor types and authorization requirements.
  • Requires the ability to manage multiple tasks simultaneously with minimal supervision and ability to work independently.
  • Requires excellent interpersonal, oral, and written communication skills to effectively interact with a wide range of audiences. Must have the ability to handle ongoing face-to-face contact with patients and staff while functioning in a busy medical office environment.
  • Strong knowledge in the use of common office software, word processing, spreadsheet, and database software are required.

PREFERRED QUALIFICATIONS

  • Work experience with the FHP’s systems and processes is preferred.
  • Additional related education and/or experience preferred.
